Advertising Committee

The Advertising Committee creates and implements an advertising plan, within a defined budget, for the Santa Fe Studio Tour.

Committee Size

  • 1 Lead plus 5 volunteers

Budget & Plan

  • Work with Treasurer to establish advertising budget for approval by the Board
  • Review binder of prior years’ ads & contracts to determine advertising options
    • Consider budget & data gathered on response rates (if any)
    • ID new advertising avenues to capture Balloon Fiesta attendees
  • Work with Treasurer to review contract status and payment plans

Timeline

  • At least four months out establish advertising plan
    • timeline for providing content to each advertiser
      • document contact details, deadlines & other requirements
    • define timing, content and ‘audience’ for flyers
      • coordinate timing, images and design with Brochure Committee

Content

  • Prepare to measure advertising success
    • Previously, unique URLs were associated with each ad inviting readers to access and provide their emails in exchange for the Planning Guide
    • Consider use of QR codes (https://www.qr-code-generator.com/)
  • Work with graphic artist to create or modify existing ads
  • Have three people review ad content for spelling, dates, etc.
  • Submit content to advertisers with images by established deadlines
  • Confirm ad appears as submitted
  • Coordinate advertising with Social Media Committee Chair to ensure consistency

 

Investigate other venues                                                   

  • Submit news blurbs to newspapers for feature in calendar
  • Submit to all free calendars in the state
  • Find venues that may want to write an article, e.g., interviewing participating artists for magazine articles, etc.
  • Engage TV and radio for interviews (free), we already have contacts
  • Consider other print options, e.g., window flyers, etc.

Documentation

  • Document timeline, contact information and price for each advertiser & post to DropBox
  • Add copies of each ad to the binder
  • Update (or create) ‘how to’ documentation as needed; note ways to improve the process in the following year and post to DropBox at the end of the year.
