Signs Committee

The Signs Committee manages the process to ensure artists receive the number of signs they have requested for their studios.

 

Committee Size

  • 1 Lead plus 5 volunteers

Records Management / Database

  • Update and maintain spreadsheet to
    • track sign inventory
    • track how many signs each artist/studio needs & how many signs need to be made
    • record fees collected for extra signs
    • record # of signs picked up and returned by artists
    • record return of deposits submitted by artists
    • ensure final inventory count of signs and studio numbers is captured

Coordinating Extra Signs

  • Each artist automatically gets one A-Frame and 2 H-frame signs, but may order additional signs for a fee.
  • Determine how many extra studio numbers need to be printed and arrange for printing

Assembling the Signs

  • Schedule a “sign party” to apply newly printed studio numbers to the signs as needed to ensure the artists/studios receive the number of signs they ‘ordered’

Pick-up and Drop-off Events

  • Arrange to have signs picked up from and returned to storage
  • Coordinate the sign pick-up and drop-off processes, including collecting payments and returning deposits
  • Track and record how many signs are picked up and returned by artists

Signs for Preview Gallery

  • provide four A-frames and the signs marked “Gallery” to the Preview Gallery Committee
  • Keep these four signs separate so they do not get used for new, extra signs

Update (or create) ‘how to’ / handover documentation as needed; note ways to improve the process in the following year and post to DropBox at the end of the Tour.
